Restaurant Majorelle faced a major organizational challenge in managing its supplier invoices. The manager had to constantly juggle operational tasks while handling a steady stream of invoices arriving by email.

The lack of structured organization led to considerable time waste: searching for invoices in the inbox, manually sorting documents, entering information, and approximate archiving.

This situation created constant operational stress and diverted the manager from higher-value tasks for the establishment.

APPROACH

After a full audit of existing processes, we analyzed the flow of incoming emails and identified the patterns of supplier invoice receipt.

This analysis allowed us to design a data architecture in Notion with two interconnected main databases: suppliers and invoices. The approach prioritized ease of use while maintaining complete traceability.

SOLUTION

What we deployed for Majorelle.

Email monitoring

The system automatically monitors the Outlook inbox and triggers a series of actions as soon as an email containing an attachment is detected.

OCR extraction

The workflow identifies invoices using advanced filtering rules, then extracts data via OCR: amount, date, invoice number.

Centralized database

If the supplier doesn't exist in Notion, it is automatically created. The invoice is saved with all links to the corresponding supplier.

Archiving and forwarding

The PDF is archived in OneDrive by month. Once validated via the dashboard, the invoice is automatically forwarded to the accountant.
