Mindura, an emerging content creation and AI automation agency, spent hours on manual prospecting without a CRM structure. With an automated system combining Monday, n8n, and Lemlist with Perplexity, the agency deployed customized multi-channel campaigns that allowed it to secure its first clients while saving 15 minutes per contacted lead.
Context & Challenge
Mindura assists its clients in content creation and AI automation. As an emerging agency, it needed to structure its business development to generate its first revenues.
Lead research and outreach were extremely time-consuming tasks but necessary to kickstart the business. Each prospect required manual information research, personalized email writing, and individual follow-up on interactions.
Furthermore, Mindura had no CRM structure to centralize this client data and effectively track its sales pipeline. This situation generated significant time waste and a lack of visibility on sales performance.
The challenge was twofold: automate the prospecting process while creating use cases to present to future clients.
Method
We analyzed the existing prospecting process to identify all repetitive manual steps. This analysis allowed us to design a centralized workflow that automates the entire sales journey.
The approach focused on creating a Monday base as the unique central point. Each new lead automatically triggers a series of coordinated actions via n8n and Lemlist.
The methodology emphasized personalization with the integration of Perplexity to generate messages tailored to each prospect, while ensuring comprehensive tracking of interactions across all channels. The goal was to transform a time-consuming manual process into a high-performing automated multi-channel system.
Systems Deployed
Centralized Monday Base
We created a comprehensive database in Monday containing all the classic information of a CRM: contact details of prospects, sectors of activity, interaction history, and prospecting statuses.
We also set up a dedicated database to record and track campaigns with their respective performances.
Automated n8n Workflow
As soon as a new lead is added in Monday, n8n automatically triggers the integration with Lemlist to include it in a customized multi-channel campaign.
Lemlist Campaign Platform
Lemlist allows for the creation and management of automated mailing and LinkedIn campaigns with personalized sequences for each type of prospect.
We used Perplexity to generate personalized LinkedIn messages and emails based on the sector and specifics of each prospect.
Complete Tracking System
All interactions are automatically tracked: sent emails, opened emails, replied emails, bounced emails, accepted LinkedIn invitations, sent LinkedIn messages, and received replies. This data is synchronized in real-time in Monday for centralized tracking.

Impact Business
The system allows for the automatic contact of qualified leads with personalized messages and precisely tracks their interactions across all channels. The time savings are estimated to be a minimum of 15 minutes per contacted lead.
This system enabled Mindura to secure its first clients, thus validating the effectiveness of the automated approach. The agency now has a structured sales pipeline with complete visibility into the performance of each campaign.
